sent out to all instructors informing them of the event. It is always to the student’s benefit to ensure that their particular instructors are aware of his/her participation in these events and to discuss any course work or deadlines that might be impacted. Students must include documentation of a court appearance or military obligation. Unexcused Absences Any other type of absence not stated above is considered an unexcused absence. Students who miss unexcused class hours totaling twice the number of credit hours awarded for the course, or the equivalent of two weeks of class instruction may be dropped for non-attendance. Vincennes University believes that missing two weeks of class time puts a student at a severe risk of failing a class. It is the student’s responsibility to make up all missing coursework after any absence. An unexcused absence occurring on the day of an exam, presentation, or other scheduled requirement may or may not be allowed to be made up. This is at the discretion of the instructors. It is the student’s responsibility to communicate the nature of the unexcused absence to the instructors as soon as possible. The instructors may require some written documentation to verify the absence in order for the scheduled requirement to be made up. Extended Student Absences (courtesy notification only) As a service to students, the Dean of Students Office can provide notification to instructors when students have been/will be absent from class(es) for three or more consecutive days. Unless noted above as excused by University policy, all other absences are subject to the course absence policy and/or instructor’s discretion. The Dean of Students Office does not have the authority to excuse students for illness, accident/injury, family emergency, family events, etc. Only instructors have the authority to excuse students from class(es) or coursework for these reasons. Students are not required to report absences to the Dean of Students Office. The Office serves as a resource to help students reach instructors. The student is responsible for providing verification of the absence to instructors, if requested. Notification to instructors by the Dean of Students Office will be sent via email; the student’s preferred email will be copied on the notification. Withdrawal Procedures Instructor-Initiated Withdrawal of Students from Class Students who miss unexcused class hours totaling twice the number of credit hours awarded for the course, or the equivalent of two weeks of class instruction, may be administratively dropped from class. Instructors will be using the University attendance tracking system to issue warnings for non-attendance and to drop students for non-attendance with the following final grades: • WN: Withdrawal for non-attendance, Not failing • WF: Withdrawal for non-attendance, Failing Only the student may appeal such a drop for non-attendance, and the student has two possible avenues for appeal. 1. The student may appeal directly to the instructor for readmission to the course and must provide evidence of extenuating circumstances that caused the absences. The instructor has the option to readmit the student at his/her own discretion. The instructor must email the Dean of Students approval to reinstate the student. 2. The student may appeal the drop for non-attendance through the Dean of Students Office by completing an online Drop Appeal Form submitted within five business days from the date of the notification. The Dean of Students or designee will review the appeal, consult with the instructor and then render a decision to grant or deny readmission into the class. If there is extenuating information/evidence unknown to the instructor or Dean of Students, the student is responsible to provide that information/evidence prior to the review. The review is conducted by the Dean of Students or a designee. Student-Initiated Withdrawal from Class On Campus A student initiating a course drop should check the program requirements with his/her academic advisor and the potential impact to financial aid status with the financial aid staff before making any schedule changes. Students must be aware that dropping any corequisite course will initiate the drop of the corresponding corequisite course. Additionally, students should be very cautious about dropping developmental classes, especially developmental corequisites, as this can hinder degree progress and financial aid eligibility. A student dropping a developmental course will be placed on academic probation or may be academically disqualified. Class withdrawals from some required courses are not permitted. Excused withdrawals, initiated by the student, may be made up to and including Friday of the tenth calendar week of each fall or spring semester. (This date may be adjusted for terms less than fifteen weeks in length. See Academic Calendar for exact dates.) Students are to be aware of their responsibility for making withdrawal decisions in time to meet calendar deadlines. Students should also be aware that withdrawals requested after these deadlines to avoid lower than desired course grades will not be considered. Student-initiated withdrawals will not be permitted after these dates except in the case of extended illness, family emergency, or other such unavoidable causes, and then only with the consent of the class instructor, the student's academic advisor, and the college dean of the student's major. 6
